Authentified ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect your information when you use our platform, which combines professional networking and relationship management features.

By using Authentified, you agree to the terms outlined in this Privacy Policy.

1. Information We Collect

We collect the following types of information when you use Authentified:

  • Account Information: Name, email address, phone number, profile photo, professional details, login credentials.
  • Profile & Content: Information you choose to add to your profile, posts, comments, connections, Insight-style notes, and messages.
  • LinkedIn Profile: With your permission, we access your LinkedIn profile to generate your Authentified profile, helping you save time during setup.
  • Connections & Activity: Details of your relationships, interactions, meetings scheduled, referrals made, and groups joined.
  • Usage Data: Log data such as IP address, browser type, device information, operating system, and interactions within the platform.
  • Cookies & Tracking: We use cookies and similar technologies to personalize your experience and improve our services.

Google Workspace Integrations

If you choose to connect Gmail or Google Calendar, we receive the permissions you grant and access only the Google Workspace data needed to operate those workflows.

  • Gmail Data: sender names and email addresses, subject lines, timestamps, and message preview text or snippets from recent emails so we can suggest contacts, support Gmail import, and help you work from relationship context.
  • Google Calendar Data: event titles, dates and times, attendee names and email addresses, locations, descriptions, and related calendar metadata so we can sync upcoming meetings, create reminders, and help you import birthdays, holidays, and recurring occasions. Depending on the permissions you approve, this may also include event-level access that can support Authentified-managed calendar actions.
  • Integration Credentials: OAuth access tokens, refresh tokens, token expiry, granted scopes, and sync metadata needed to maintain the connection until you disconnect it.

Touchpoint drafts may open a prefilled Gmail compose window, but Authentified does not directly send email from your Gmail account through this integration today.

2. How We Use Your Information

We use the information collected to:

  • Provide and improve the Authentified platform.
  • Help you discover and connect with relevant allies, partners, and opportunities.
  • Personalize your experience, including recommendations and suggestions.
  • Enable Insight-style features such as reminders, notes, and follow-ups.
  • Communicate with you about account updates, events, promotions, or security alerts.
  • Analyze usage trends to improve functionality and security.
  • Run Gmail import workflows that suggest recent professional contacts and, if you confirm an import, create or update contacts, connections, and interaction history in your Authentified account.
  • Sync Google Calendar events to identify meetings with known connections, create planned interactions and meeting-prep reminders, and scan birthdays, holidays, and recurring events you choose to import as occasions.

When you use AI-assisted workflows tied to these integrations, relevant message snippets, event details, or calendar context may be processed by our AI service providers on our behalf to rank import candidates, generate summaries, or support meeting-prep and relationship workflows.

3. How We Share Information

We may share your information in the following circumstances:

  • With Other Users: Profile and activity information is visible to your connections or within the network, subject to your privacy settings.
  • With Service Providers: Third-party vendors who help us operate the platform (e.g., hosting, analytics, customer support, payment processing, AI/ML providers, and the communication or scheduling platforms you choose to connect).
  • With Connected Platforms: If you link a third-party account such as Google Workspace, we exchange the minimum data needed with that provider to authenticate your access and operate the integration you requested.
  • For Legal Reasons: When required by law, regulation, or legal process.
  • During Business Changes: If Authentified is involved in a merger, acquisition, or sale of assets.

We do not sell your personal data to advertisers or third parties.

4. Your Choices & Rights

  • Access & Update: You may access, correct, or update your account information at any time.
  • Delete: You may delete your account, subject to applicable retention requirements.
  • Opt-Out: You may opt out of marketing emails by following the unsubscribe link.
  • Cookies: You can control cookie preferences in your browser settings.
  • Connected Accounts: You may disconnect Google access from your profile settings at any time. Disconnecting stops future Gmail and Calendar access, but it does not automatically delete records already created in Authentified, such as imported contacts, interactions, tasks, or occasions.

If you are located in certain regions (such as the EU/EEA), you may also have rights under GDPR, including the right to data portability, restriction of processing, and filing complaints with data protection authorities.

5. Data Security

We use administrative, technical, and organizational safeguards to protect your personal data. However, no online platform can guarantee complete security, so please use Authentified responsibly. OAuth tokens for connected Google accounts are stored in encrypted form.

6. Data Retention

We retain your personal information as long as your account is active or as needed to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Imported or synced records created from connected services may remain in your Authentified account until you delete them or delete your account, even if you later disconnect the source integration.

7. International Transfers

If you use Authentified outside of your home country, your information may be transferred and processed in countries with different data protection laws.

8. Children's Privacy

Authentified is not intended for individuals under 16. We do not knowingly collect information from minors. If we become aware, we will delete such data promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "Effective Date".
